Once your schedule is published, the live schedule system tracks competition progress automatically as judges score performances.
How It Works
- Automatic progression: When all assigned judges finish scoring every entry in a section, that section is marked as completed and the schedule advances to the next item.
- Server-side sync: Schedule status is calculated on the server, so it keeps working even if you close your browser. Judges trigger a sync each time they submit a score.
- Entry linking: When you publish the schedule, entries are automatically linked to their matching schedule items. This ensures accurate progress tracking without manual setup.
Schedule Statuses
| Status | Meaning |
|---|---|
| Not Started | The day has not begun |
| In Progress | At least one section is currently being scored |
| Completed | All sections and items for the day are finished |
Each schedule item also has its own status:
| Item Status | Meaning |
|---|---|
| Upcoming | Not yet reached in the schedule |
| In Progress | Judges are currently scoring this section (or the break/event is active) |
| Completed | All entries scored by all judges (or item manually advanced past) |
Schedule Progression
Schedule progression is driven automatically by judge scoring. When all assigned judges score all entries in a section, the section is marked as completed and the schedule advances.
The Schedule Builder shows live status on each item:
- Protected items: Completed and in-progress items are locked and cannot be moved or deleted
- Lock icons: Show which items are protected, with tooltips explaining why
Delay Tracking
The system compares each item's planned start time with its actual start time:
- On time: Schedule is running as planned
- Behind schedule: A delay is detected and shown to viewers. All upcoming estimated times shift accordingly.
- Ahead of schedule: Running early. Upcoming times adjust down.
Non-Performance Items
Breaks, awards ceremonies, showcases, and other non-performance items are handled by the judging system. Judges acknowledge them as they encounter them during their scoring session, and the schedule advances past them.
CRITICAL: All Judges Must Score for the Schedule to Advance
The live schedule will NOT advance past a section until every assigned judge has scored every entry in that section.
This is the most important thing to understand about the live schedule. If even one judge is missing, unavailable, or has not finished scoring, the schedule will remain stuck on that section.
Common scenarios that cause the schedule to stall:
| Scenario | What Happens | Solution |
|---|---|---|
| Judge is sick or absent | Schedule stops. System waits for their scores | Invite a stand-in judge and remove the absent judge |
| Judge has connection issues | Schedule pauses until their offline scores sync | Help them reconnect; scores in their queue will auto-sync |
| Judge forgot to submit an entry | Section shows as partially scored | Remind the judge to check their progress and submit all entries |
| Judge left the event early | Schedule stops on their next assigned section | Remove the judge or find a replacement immediately |
How to fix a stalled schedule:
- Check which judge has not completed scoring. The Judges page shows progress per judge
- If the judge is available, remind them to finish scoring
- If the judge is unavailable, remove them from the competition and invite a replacement
- As a last resort, use the Reset Schedule Status option in Event Settings to reset and start fresh
Prevention tips:
- Always have backup judges on standby
- Brief all judges on the importance of completing every section
- Monitor judge progress throughout the day from your organiser dashboard
- Remind judges that the entire schedule depends on them finishing their scores
Real-Time Broadcasting
When judges complete scoring a section, the system instantly broadcasts the updated schedule status to all connected viewers (spectators, studios, dancers, and other portals) via a real-time connection. This means:
- No polling delays: viewers see schedule changes within seconds
- Automatic fallback: if the real-time connection drops, the system falls back to polling every couple of minutes
- No action required from you: broadcasting happens automatically as judges score
Tips
- Publish the schedule before judges start scoring so entry links are created
- If you add or remove entries after publishing, re-publish to refresh the entry links
- The live schedule view updates automatically for all viewers. No need to manually refresh
- Schedule status broadcasts happen instantly when judges complete sections
